1. Booking and Payment:
- A non-refundable deposit of 25% of the total booking fee is required at the time of reservation to secure the date.
- The remaining balance is due no later than 14 days before the event date.
- If a booking is not paid by this deadline in full, and no extension has been agreed with our team, then the deposit will be forfeited and the booking will be automatically cancelled.
- Bookings are only confirmed once the deposit has been received and confirmed by us.
- All prices are quoted in GBP (£) and are inclusive of applicable VAT unless otherwise stated.
2. Cancellation Policy:
- Cancellations made more than 30 days before the event will result in a full refund of any paid amounts minus the deposit.
- Cancellations received 30 days or less before the event are non-refundable.
- Cancellations received 30 days or less before the event may be changed to another date for an additional fee of £25. This option will be subject to availability.
- In the event of cancellation, the client is responsible for all expenses incurred up to the cancellation date.
- No refunds will be provided for postponed or rescheduled events unless mutually agreed.
3. Equipment and service delivery
- We will deliver, set up, and operate the equipment during your booked times.
- Setup times are to be scheduled in coordination with the client and specified in the booking.
- We reserve the right to refuse service or remove equipment if safety or venue restrictions are compromised.
- No refund will be offered or due if the equipment is removed, or if service is refused, except where previously agreed directly with the client at the time of booking.
- Our team will dismantle and remove equipment promptly post-event.
4. Venue and access
- It is the client’s responsibility to ensure that the venue is capable of receiving the delivery, setup, and dismantling of the photo booth.
- The client must organise for the venue to be accessible for delivery and setup up to 3 hours before the start of the booked hire period if earlier access is required.
- The client must secure any necessary permissions, permits, or approvals from the venue for the setup of our equipment.
- The client shall ensure sufficient space, power outlets, and access for the equipment and our team, including checking that the venue has step-free access, or a lift where needed, for the safe transport of equipment to and from the setup space.
- We are not liable for issues at the venue, such as a lack of power outlets, insufficient space, or restricted access.
- The client is responsible for any additional costs incurred due to access issues, including delays or rerouting.
- We are not liable for any damage or injury resulting from insufficient venue preparation or safety issues.
5. Personalisation and design approvals
- Custom designs for photo overlays, prints, or personalised gifts will be provided for client approval before production.
- Any delays in providing feedback may impact production and delivery times.
- We reserve the right to reject any content deemed inappropriate or offensive, or which violates copyright.
- The In Style Memories branding and/or QR code will be included on the photo booth and on any backdrops offered. This will be as unobtrusive as possible to ensure the client’s design is not compromised, and will be agreed with the client during the design approval stage.
6. Personalised items and artwork
- Personalised items are produced based on the specifications and/or design proof provided by the client.
- The client must verify all spellings, dates, and details before final approval.
- We are not responsible for errors resulting from incorrect information supplied by the client.
7. Delivery and postage
- Personalised items will be shipped via courier or postal service.
- Delivery times are estimates; we cannot be held responsible for delays caused by postal providers.
- The client is responsible for providing correct address details and/or delivery instructions.
- The client may consider collection from Wakefield (WF2), or agree that the photo booth attendant will bring their order directly to the venue on the date of the event.
8. Data Protection and Privacy
- We handle all personal data in compliance with applicable privacy laws.
- Personal information collected during booking is used solely for service delivery and will not be shared with third parties without consent.
- Digital images and videos captured during the event may be used for promotional purposes unless the client requests otherwise.
9. Liability and Insurance
- We accept no responsibility for injury, loss, or damage caused by the photo booth or during setup and dismantling.
- Our equipment is regularly maintained and insured; however, we are not liable for damages arising from customer misuse or failure to follow safety instructions.
10. Force Majeure
- We will not be liable for failure or delay in providing services caused by events beyond our control, including but not limited to extreme weather, natural disasters, pandemics, or cancellations by the venue.
11. Amendments and Substitutions
- We reserve the right to make changes or substitutions to equipment, props, or services due to unforeseen circumstances, without notice, provided the service remains equivalent or better.
12. Event Changes
- Any changes to the booking details must be communicated as soon as possible and are subject to availability and approval.
13. Responsibility of the client
- The client agrees to supervise and control guests during the event and ensure they follow safety and venue rules.
- The client shall ensure that all equipment and personalisation details are accurate and submitted within deadlines.
14. Acceptance of Terms
